Overview Of Role

The IT Systems Specialist is responsible for ensuring the smooth operation, ongoing enhancement, and strategic development of the Odoo ERP system and broader IT ecosystem within the Rental Division. This role serves as the internal systems lead, bridging operational needs with technical delivery, managing integrations, system health, user 

Responsibilities
  1. 1.        Odoo System Administration & Management
  • Oversee day-to-day functionality, performance, and uptime of the Odoo ERP environment.
  • Manage user access controls, security permissions, and company/branch configurations.
  • Ensure system data integrity and perform regular audits.
  • Create and maintain master data across modules (Products, fleet, rental, accounting, procurement, etc.).
  • Conduct regular system health checks and implement preventative maintenance routines.
  1. 2.        System Development & Enhancement
  • Identify, scope, and document new system requirements, enhancements, and workflows.
  • Prepare and deliver technical specifications and supporting code for implementation by iSoft.
  • Collaborate with Odoo developers (iSoft) to design and implement custom features, workflows and automations.
  • Manage system testing, User Acceptance Testing, and rollout of new functionality.
  1. 3.        Reporting & Analytics
  • Develop, maintain, and automate management and operational reports using Odoo and Power BI.
  • Serve as the Power BI developer for the Rental Division, integrating data across Odoo and other systems.
  • Support management reporting packs, dashboards, and ad hoc analytics.
  1. 4.        Systems Integration & APIs
  • Manage and monitor API integrations between Odoo and other business platforms (financial, telematics, CRM, website, Global Distribution Systems (GDS), etc.).
  • Work closely with third-party vendors to ensure seamless data flow and system interoperability.
    1. 1.        IT Coordination & Support
    • Act as the first point of contact for all IT matters within the Rental Division.
    • Liaise with ScottNet (Group IT) for Tier 2 support, escalations, and broader network or hardware issues.
    • Manage and coordinate printer connections, network configurations, and system access (In line with the Halfway Group mandate).
    • Raise and track IT-related purchase orders (laptops, printers, accessories, software).
    1. 2.        Training, Documentation & User Support
    • Serve as the Odoo super user and internal trainer across all departments.
    • Develop and maintain user manuals, SOPs, and training guides.
    • Conduct ongoing training sessions to ensure system adoption and competency.
    • Provide frontline support for system queries, escalating where necessary.
    1. 3.        Project Management
    • Lead Odoo implementation, upgrade, and integration projects across companies and branches.
    • Coordinate with internal teams, iSoft, and ScottNet on timelines, deliverables, and testing.
    • Track and report project progress to management.
    1. 4.        Governance & Compliance
    • Ensure compliance with Odoo data protection, user access, and IT security standards.
    • Maintain structured documentation of system changes and configurations (to be shared with ISoft as required).
    • Support audit processes with system reports and access logs.
Qualification
  • Suitable diplomas/certificates in Information Systems, Power BI, Python coding, Accounting, or equivalent.
Experience
  • Minimum 3–5 years’ experience in ERP administration or systems management (Odoo experience preferred).
  • Proven experience managing system integrations and IT operations.
  • Familiarity with rental, fleet management, or automotive industry systems advantageous.
